The AI Time Audit: find where AI can save your business hours this week

Most businesses use AI for whatever comes to mind rather than whatever saves the most time. This audit changes that.

The most common mistake I see when businesses start using AI is using it randomly.

They try it for email one day. Then they forget about it for a week. Then they use it to summarise something. Then they try it for a social post. They get inconsistent results, no clear habits form and after a few months they conclude that AI is useful but not transformative.

The fix is not more AI tools. It is knowing specifically where AI should be applied in your business before you start.

That is what the AI Time Audit does.

How the audit works

The audit has three parts. Each one takes about 10 minutes. Together they give you a priority list of exactly which tasks to tackle first.

Part 1: Map your time

List every major task you and your team do in a normal week. Be specific. Not "admin" but "writing the weekly report, answering client emails, preparing for the Monday meeting, updating the project tracker."

Do not filter. Just list everything. You are looking for quantity here, not quality.

Part 2: Score each task

For each task, give it two scores from 1 to 5.

ScoreTime score (1-5)AI potential score (1-5)
1Under 15 minutes per weekAI cannot meaningfully help
215 to 30 minutes per weekAI helps a little
330 to 60 minutes per weekAI saves 30 to 50% of the time
41 to 3 hours per weekAI saves 50 to 70% of the time
5More than 3 hours per weekAI handles most of this task

Multiply the two scores together. A task scoring 5 on time and 5 on AI potential has a combined score of 25. That is your highest priority.

Part 3: Build your priority list

Rank your tasks by combined score. The top three are where you start. Not the other seven. Not the interesting ones. The top three by score.

What businesses typically find

When I run this audit with clients, the same categories come up in the top three almost every time.

Weekly reporting is almost always at or near the top. It takes hours. It is repetitive. It follows a consistent structure. AI handles it well.

Email communications are almost always there too. Not individual one-off emails but the recurring types: client updates, follow-ups, difficult conversations, re-engagement emails. Each of these can be turned into a prompt that produces a 90% complete draft in under a minute.

Meeting notes are the third most common high scorer. Businesses have a lot of meetings. Writing up notes after each one takes 30 to 45 minutes per meeting. A transcript and one prompt cuts that to under 5 minutes.

The maths

A team of 5 people each saving 2 hours per week from the top three AI wins is 10 hours per week across the team. At £35 loaded cost per hour, that is £350 per week or £18,200 per year.

That is from three prompts.

The most important thing to know before you start

AI does not help with every task equally. Some tasks are genuinely better done by humans. Some tasks have nuance and relationship context that AI cannot replicate. The audit is not about automating everything. It is about finding the tasks where the trade-off is clearly worth it.

Reporting is almost always worth it. Creative strategy usually is not. Client relationship emails where real empathy matters are sometimes worth it and sometimes not. The audit helps you find your specific version of that line.

How to build on the audit

Once you have your top three, the next step is building one prompt for each of them. Test it with a real example. Refine it once. Save it.

You now have the foundation of a prompt library. Three prompts that save measurable time every week. That is not a small thing. That is the beginning of an operation that runs on AI rather than just dabbling in it.

Try it now

The interactive AI Time Audit is free. It takes about 30 minutes. By the end you have a priority list and a starting point for your first three prompts.
